Order Approval Process Management

OBJECTIVE

The Order Approval Process Management function is used to determine the various steps to be followed to have various orders approved.

 

You can create an approval process that is linked to a single supplier or to all suppliers at the same time.

  • The Advanced Order Approval box in the General section of Configuration must be checked.

Create an approval process

  1. Click one of the icons that represent the type of order to which the process should be linked.
  2. Select a Supplier if the process differs from one supplier to another, or check the All Suppliers box if the process is identical for all.
  3. Click the Insert a Column icon.

 

The minimum for the first column is always $0.00 by default.

  1. Enter the maximum for the first column in the To Amount field.
  2. Enter the approval codes by step for these amounts.

 

For each user that uses orders, the codes entered must take the information entered in the Access Restrictions tab in Security Management into consideration.

NOTE: For example, an employee must have access to the codes in security based on the steps in the process. To make this easier to understand, imagine that the approval codes are established based on the positions from which the approval levels are determined based on amounts (project manager, director of operations, vice president of operations, president). Therefore, for an order valued between $0 and $5,000, the only step might be approval by the project manager. However, an order between $5,001 and $10,000 might also have to be approved by the director of operations, and for an order between $10,001 and $50,000, and so on.

  1. Create additional columns based on the requirements of the process.
  2. Click Save.

 

To make it easier to create a new approval process, you can copy and modify an existing process by clicking the Copy Process icon.
